WM Synergy understands how important your privacy is to you and we want to ensure that you are comfortable and understand that we take pride in protecting your privacy. This document will explain to you exactly what information we collect when you visit our site and when you place an inquiry on our site. It also explains how we use that information and how you can change how we use it.
Information we collect
1. Personal Information – If you place an inquiry at www.wm-synergy.co we may collect certain personal information from you including your name, telephone number, and, email address. This information is considered personally identifiable. This information is protected by the use of a secure web server and is protected by other internal systems that we have in place.
2. Non-Personal Information – Like most other websites, www.wm-synergy.com uses cookies to collect certain information. Cookies do not contain information that can identify you, though it may be combined with your personal information. This information will be used only in aggregate. This information allows us to make your experience on our website valuable to you and to improve your overall surfing experience. We may also use information to provide us with additional ways to market our services.
Disclosing your information
There are only extreme cases when we will disclose your personal information. They include (but are not limited to) cases where we are requested to do so by law through a governmental agency, a court order or if we believe that it is required to be in compliance with any law. We may also need to disclose this information if we believe that you may cause danger to yourself or to others.
Cookies
Earlier we mentioned the use of cookies on our website. These are small data files that contain specific information regarding your computer browser, your ISP and other non-identifying information. Cookies do not contain any personal information such as your name, your address, your email address or any other personal information that you provide to us.

Mailing Lists
Email Lists – We set up an email list for the convenience of our visitors. This email list often provides you with advanced notification regarding new services, sales offers, and other news from WM Synergy. Email addresses will not be shared with anyone outside of WM Synergy.
If you are on the WM Synergy email list and wish to be removed, you may do so by using the unsubscribe link located in the footer of every email or by emailing us at customercare@wm-synergy.com. We will remove you as quickly as possible. We ask you to bear with us as this may require a reset of our server. You may receive one or more additional emails before you are removed from the list.
Artificial Intelligence and Customer Data
Some of our products and services use artificial intelligence to help you work with your data. Examples include conversational analysis of your ERP data, automated document drafting, anomaly detection, and identifying sales or service opportunities from your records. This section explains how we handle data when you use those AI features. It applies in addition to the rest of this Privacy Policy and to our Terms of Service.
What we process
When you use an AI feature, we process the data you or your environment make available to that feature so it can return a result to you. Depending on the product, this can include records from your ERP or connected systems, documents you provide, and the content of meetings or communications you ask us to record or transcribe.
How we use it
We use your data only to provide, operate, and support the AI features for you.
We do not use your data to train, fine-tune, or improve any general-purpose or third-party AI model.
We do not use your data for the benefit of any other customer. We may use data in aggregated and de-identified form, which does not identify you or any individual, to operate, secure, and improve the AI features (for example, monitoring performance and fixing errors, not training any AI model).
Where an AI feature can write changes back into a system of record, it is designed to include a human review and approval step before the change takes effect.
Third-party AI providers
Our AI features rely in part on third-party AI platforms and hosting. We use only providers that contractually agree not to train their models on data submitted through our enterprise accounts. When you use an AI feature, your data may be sent to and processed by these providers solely to return a result to you and to us. You can ask us who our current third-party AI providers are.
How we protect it
We maintain commercially reasonable safeguards for the AI features, and we use providers that maintain recognized security and privacy certifications.
Recorded and transcribed meetings
Where we use AI tools to record, transcribe, or summarize a meeting or communication with you, we tell you at the start of the engagement and, where practicable, at the start of each recorded session. If you take part in a session or communication after we have given this disclosure, you are treated as having agreed to AI recording, transcription, and summarization unless you have already opted out in writing. Our disclosure at the start of an engagement serves as notice for the later sessions in that engagement. You or any participant may opt out of AI recording or transcription by letting us know in writing, and we will honor that going forward. We treat the resulting recording, transcript, and summary as confidential.
How long we keep it
We retain data processed by the AI features, including recordings, transcripts, prompts, and AI-generated output, for the length of your engagement and for up to twelve months afterward, unless a longer period is required by law or set out in your agreement. You can ask us to delete it sooner, and we will do so subject to our legal and contractual obligations.
Your choices
You can ask how an AI feature uses your data, decline AI notetaking on your meetings, and request deletion of data processed by the AI features, subject to our legal and contractual obligations. To make a request, contact us at customercare@wm-synergy.com. We will respond within thirty days.
Warnings
Please note that email is not data encrypted. Lack of data encryption means that your emails are not considered a secure means of transmitting personal information. We will never ask for sensitive personally identifiable information via email.
If you go to other websites from links on our page(s) they will have different privacy policies, and terms of service. Please understand that WM Synergy is not responsible for the content of any of these other sites. It is up to you as the visitor to that site to ensure that you review their terms of service as well as their privacy policies.
Changes to this policy
www.wm-synergy may periodically update our privacy policy. Any changes made will be posted in this document and can be identified by the date at the end of the document. By visiting WM Synergy’s website you agree to accept any changes we have made to this policy. Our Privacy Policy only addresses the use and disclosure of information we collect from you on our website. Each change to this policy will be dated so you can ensure you are reading the most recent copy.
